Provident Fund monthly returns are filed by employers through the Unified Portal to report employee contributions, wages, and membership details. The Electronic Challan-cum-Return (ECR) is filed monthly by the 15th of the following month, detailing Universal Account Numbers (UANs), wages, EPF contributions (employee and employer share), EPS contributions, and EDLI contributions.
The ECR filing process involves uploading wage details, generating challan, making online payment through net banking, and submitting the return. Employers must ensure KYC (Aadhaar, PAN, bank account) is updated for all employees to enable online claim processing. Monthly filings create the basis for employee passbook entries, pension contributions, and insurance coverage under the EDLI scheme.
Non-filing or delayed filing attracts interest at 12% per annum on due amounts and damages ranging from 5% to 25% depending on delay duration. Returns must be filed even for months with no wages paid (nil returns) to maintain compliance status. Correct filing ensures employees receive continuous service credit and access to online withdrawal facilities.

Contact our support teamPF return filing is the monthly submission of Electronic Challan-cum-Return (ECR) by employers to the EPFO. It reports wages paid to employees, PF contributions deducted and payable, and other details. It replaces the earlier monthly and annual return system.
PF return (ECR) must be filed monthly by the 15th of the following month. For example, the return for April must be filed by May 15. The payment of PF contributions must also be made by the same date to avoid interest and penalties.
PF return is filed online through the EPFO portal. The employer uploads the ECR file containing employee details and wages, the portal generates a challan with the amount due, the employer makes payment through net banking, and the return is marked as filed.
PF return includes UAN of employees, name, gross wages, EPF wages, EPS wages, EDLI wages, employee and employer EPF contribution, EPS contribution, EDLI contribution, and administrative charges. All employees must be included, even those with zero contribution.
Late filing attracts interest at 12% per annum on the delayed payment and damages ranging from 5% to 25% of the amount due depending on the delay period. Persistent non-compliance may result in prosecution and imprisonment up to 3 years.
ECR (Electronic Challan-cum-Return) is the current unified return and payment system. Earlier, employers filed separate monthly returns (Form 5, 10, 12A) and annual returns (Form 3A, 6A). ECR has simplified compliance by combining returns with payment challan.
Under the ECR system, separate annual returns are not required. The monthly ECR covers all reporting requirements. However, employers must issue Form 16A (annual statement of contributions) to employees and maintain registers as per the EPF Scheme.
New employees are added by filing Form 11 (Declaration Form) for employees with existing UAN, or by generating new UAN through the unified portal for first-time employees. Their details are then included in the monthly ECR from the month of joining.
If errors are discovered in filed ECR, corrections can be made in subsequent months' returns or through a correction window if available. For significant errors, employers may need to contact EPFO helpdesk or visit the regional office.
The employer must register with EPFO, deduct employee contributions (12% of wages), contribute employer's share (3.67% to EPF, 8.33% to EPS, 0.5% to EDLI), file monthly ECR, maintain employee registers, and ensure UAN activation for all employees.
